Position Overview
The Partnership & Events Assistant supports membership engagement, partner relations, community events, and daily administrative operations for the Greater Stillwater Chamber of Commerce and its Foundation. This role assists with recruiting and onboarding Chamber partners, coordinating community and member events, and serving as a frontline representative for the Chamber.
The Partnership & Events Assistant works closely with the Chamber President and team to help ensure successful programs, strong business relationships, and a positive experience for members, partners, and guests.
This position reports directly to the Chamber President.Partnership & Membership Support

Assist with recruiting new Chamber partners and inviting businesses to invest in the community through Chamber membership.

Maintain positive relationships with members, partners, volunteers, and community organizations.

Assist with onboarding new partners including welcome packages and orientation.

Support membership retention efforts and assist partners in maximizing their Chamber investment.

Assist with membership renewals including messaging, invoicing, and follow-up.

Maintain membership records and process renewals in ChamberMaster.

Assist with membership reports and tracking when requested.

Coordinate and track Chamber ribbon cuttings.
Event Planning & Community Programs

Assist with planning, coordination, and execution of Chamber and community events.

Manage project plans and action logs for events.

Coordinate vendors, volunteers, and logistics.
-
Manage event registrations and maintain accurate records.

Assist with event setup, check-in, and registration desks.

Support sponsorship coordination and fulfillment.
Administrative & Office Support

Answer incoming calls promptly and professionally.

Greet walk-in visitors and direct them to appropriate staff members.

Process information requests via phone, email, internet, or in person.

Review incoming mail and route appropriately.

Assist with reports, correspondence, and general office administration.

Maintain a clean and professional lobby and meeting room environment.
Qualifications
-
Associate or Bachelor’s degree in business, communications, marketing, event management, or related field, or equivalent experience.

Experience in event coordination, administration, sales, or nonprofit/community organizations preferred.

Strong customer service and relationship-building skills.

Excellent written and verbal communication abilities.

Strong organizational and project management skills.

Ability to manage multiple projects and deadlines simultaneously.

Proficiency in Google Workspace and Microsoft Office.
